Pulling Your Marketing Results: How to Use the Appointment Report
Understanding your marketing performance is essential for growth. The CRM's Appointment Report provides a snapshot of your lead generation and conversion efforts, allowing you to quickly pull the data you need for your monthly reports.
Accessing Your Marketing Data
To generate your report, follow these steps:
Navigate to the Reporting section in the bottom-left menu.
Select Appointment Report.
Choose Your Calendar: On the right-hand side, use the search bar to select the specific calendar you are tracking for marketing campaigns (e.g., "Free Consultation Calendar").
Set Your Date Range: Select your desired date range. We highly recommend reviewing your results on a monthly basis to accurately identify trends and avoid short-term fluctuations.
Adjust the Toggle: Change the toggle from "Date Added" to "Start Date." This ensures the report reflects appointments that occurred in your chosen date range, not just appointments that were booked.
Key Metrics to Track
The Appointment Report provides a comprehensive breakdown of your calendar performance:
Booked Consultations: The total number of appointments scheduled.
Showed: The number of leads who attended their consultation.
No Show: The number of leads who missed their consultation.
Important Note on "Confirmed" vs. "Showed":
You may notice a discrepancy between your Confirmed appointments and your Showed appointments. Both confirmed and showed appointments appear bolded on the calendar. Sometimes, front office staff forget to manually change a confirmed appointment to "Showed" after a client attends.
To get the most accurate attendance rate, it's often best practice to add the number of "Confirmed" appointments to the number of "Showed" appointments if you suspect under-reporting by your team. If your staff is diligent about updating status, the "Showed" number alone will suffice.
Viewing Additional Insights
Below the main metrics, the report provides a visual breakdown of other useful data:
Channels: See how appointments were booked (e.g., by a lead online, or by a user in the office).
Day of the Week: Identify which days are most popular for bookings.
User Assignment: See which team members were assigned the most appointments.
Lead List: View a list of all leads booked within the selected timeframe.
You can export all this data to a Google Sheet or Excel for further analysis and integration into your overall marketing reports.
