Your All-in-One CRM: A Quick Guide

This is a breakdown of your new CRM, covering the key features you'll use daily to manage leads, appointments, and sales.

Leads & Appointments

When a lead books a consultation, it's done through a unique calendar link. Once they've scheduled, their appointment and details appear in your CRM.

  • View Bookings: Find all appointments in the Calendar module. You can see who booked, their contact details, and the appointment time.

  • Update Appointment Status: After a consultation, you can mark a lead as "Showed" or "No Show." This helps you track conversion rates.

  • Internal Booking: You can also manually book an appointment for a client directly within the Calendar module if they call in. You can also easily reschedule an appointment by dragging and dropping it on the calendar.


Conversations & Communication

The CRM keeps all your client communication in one place, making it easy to stay in touch.

  • Contact Panel: The Contacts module is like your business's phone book. It stores lead information and shows a full history of all your interactions with them.

  • Unified Inbox: The Conversations module displays all your messages—SMS, email, and WhatsApp—in a single thread. This lets you quickly view and respond to unread or recent conversations.

  • Internal Notes: You can add private notes to a contact's profile to give your team more context, such as "Lead has rescheduled one time."


Tracking Your Performance

The CRM provides powerful reporting tools to help you track your sales and marketing efforts.

  • Opportunities Pipeline: The Opportunities module lets you track a lead's journey from a consultation to a sale. You can assign a value to each lead and mark them as "Won" or "Lost" to see which opportunities convert.

  • Dashboard & Reports: The Dashboard gives you a high-level overview of your sales performance, including opportunity value, conversion rates, and where leads are in the pipeline. For more detailed data, the Appointment Report section lets you analyze specific metrics like total appointments, no-shows, and bookings within a custom date range.


Setting Up Your Account

The Settings module is where you'll configure your business information and manage your team.

  • Business Profile: Fill in your business details like your name, address, and contact information.

  • My Staff: Add new employees and assign specific user roles to manage their access to different parts of the CRM.

  • User Availability: Ensure your team's work hours are set correctly so leads can only book appointments when your team is available.

  • Calendar Settings: You have control over your business's calendar availability. For example, even if an employee is available from 9 a.m. to 5 p.m., you can set the consultation calendar to only show available slots from 10 a.m. to 3 p.m.
