How to modify workflows

Navigating the Automation Module

The Automation module is where you can edit your CRM's automated messages and workflows. Inside, you'll find different folders for various functions:

  • Reminders: Contains workflows for appointment reminders.

  • No-Show Reminders: Workflows for clients who miss an appointment.

  • Reputation: Workflows for review requests.

  • Opportunities: Workflows related to the sales pipeline.


Editing an Existing Workflow

To change the content of an automated message, follow these steps:

  1. Click on the "Reminders" folder, then select a specific workflow, like "General Ask to Confirm."

  2. Inside the workflow, find the message you want to edit (e.g., the initial SMS).

  3. Click the message to open a text panel. You can then edit the content.

  4. The messages use Custom Values (like {{contact.first_name}}) that automatically pull information from a client’s profile or appointment details.

  5. After making your changes, click "Save Action" to apply them.


Changing the Timing of a Message

You can also control when a message is sent out:

  1. In the workflow, click the "Wait" step, which dictates the delay before a message is sent.

  2. Change the time from the default (e.g., 24 hours) to a new value (e.g., 2 days).

  3. Click "Save Action." The system will now send that reminder message based on the new timing you set.
